Confirming your date

A date is confirmed only after the selected deposit or full session payment is completed through secure Checkout and you receive confirmation. An enquiry or incomplete Checkout does not reserve a time. The checkout page shows the temporary hold countdown, and the hold expires automatically if payment is not completed.

Deposits and balances

You may pay the listed deposit or the full session package at booking. The deposit portion is applied to the session total, locks the confirmed date, and is non-refundable. If you choose the deposit, the remaining balance is due on the session day unless the studio confirms a different schedule in writing. If you pay in full, no package balance remains, although approved studio rental or other disclosed production costs may still be separate.

Rescheduling

One reschedule is included when you contact 12 Bit Studios at least 72 hours before the scheduled start time. The deposit transfers to the replacement date. The new date is subject to availability and should be selected within 90 days of the original session unless the studio agrees otherwise.

Requests made with less than 72 hours’ notice, additional reschedules, or failure to attend may require a new deposit. A verified emergency will be handled fairly at the studio’s reasonable discretion.

Cancellation and no-show

If you cancel, the deposit remains non-refundable because the date was held and preparation may already have begun. When you paid in full, the studio will account for the non-refundable deposit, work already performed, and non-recoverable costs already committed; any remaining refundable amount will be returned to the original payment method. Missing the session without notice is treated as a cancellation and any new date requires a new booking.

Late arrival and session scope

The session ends at the originally scheduled time when another commitment or location limit follows. Arriving late may reduce shooting time, delivered variety, locations, or looks without reducing the price. If the studio causes a material delay, the studio will provide appropriate additional time or a mutually agreed remedy.

Weather, illness, and safety

For unsafe weather, location closure, serious illness, or another condition that makes the session impractical, the studio may move the session without charging a rescheduling fee. The deposit transfers to the replacement date. The studio may stop or refuse work in unsafe, unlawful, abusive, or materially different conditions.

Studios, permits, and travel

A studio rental is billed at cost after the space is selected and approved. Location permits, admission, parking, extended travel, assistants, special equipment, or other production expenses are additional when applicable and will be disclosed before commitment whenever reasonably possible.

Editing and delivery

Every delivered image is selected and finished in the studio’s style. Unedited RAW files are not included. Self-service portrait and graduation sessions will be delivered no later than 14 business days after the session unless an earlier date is confirmed in writing. Custom, commercial, event, and cinematography productions follow the delivery schedule in their written proposal or agreement.

Requests outside the package, including extensive retouching, additional exports, prints, books, or commercial rights, may be quoted separately.

Gallery access and your archive

A delivered client gallery remains available for 90 days from publication. Reminder emails are scheduled before expiry. At day 90 access is disabled; the online files may remain in a 30-day recovery quarantine and are scheduled for removal at day 120.

Download and independently back up all delivered files during the access period. The client gallery is a delivery service, not the client’s permanent archive. The studio maintains its own master archive according to its production and legal needs, but cannot promise indefinite replacement unless a written agreement says otherwise.

Licensing and refunds

Personal-session delivery includes personal use unless a written package or agreement grants different rights. Commercial, advertising, editorial, resale, or third-party licensing requires the corresponding written licence. Copyright remains with the studio unless expressly transferred in writing.

Approved refunds return to the original payment method when possible. Processing time is controlled by the payment provider and financial institution. A refund does not expand or transfer usage rights in work already delivered.
